CAWI Panel Quality Policy

Mission of the online panel, including: basic demographic characteristics of panelists, and the nature and topics of studies conducted in the panel

Panel4p.pl is an online panel open to people residing in the Republic of Poland who are at least 18 years old. Panelists receive invitations to surveys and participation is voluntary.

Through the projects we conduct, respondents can share their opinions and knowledge on a wide range of topics, contributing to improvements in services and products, as well as greater awareness of everyday-life issues.

We conduct studies both on narrow, purposive groups of respondents (e.g., users of specific banking products) and on representative samples of the adult Polish population.

We ensure topic diversity remains attractive to panelists, which supports very high engagement in survey completion.

The Panelist profile includes questions about gender, age, education, size of place of residence, and voivodeship, as well as family situation, owned goods, and the use of services and products.

Recruitment channels and methods, specific sources used for recruitment (e.g., databases), recruitment limits, the possibility for current panelists to recruit new panelists (e.g., referrals), invitations targeted at specific groups, etc.

Recruitment to panel4p.pl takes place via a registration form available on the panel4p.pl website. Panelists learn about the panel through social media, forum messages, or from acquaintances.

Our company also runs recruitment campaigns on social media and via email.

To join the panel, one must be at least 18 years old and reside in the Republic of Poland. Proficient use of the Polish language is also required.

We also expect honest answers from our panelists, in line with their beliefs or knowledge.

Rules and technical solutions ensuring that each panel participant is a real person and is who they claim to be, including procedures for underage panelists (if present on the panel)

During registration, each panelist provides an email address that is verified by the system for uniqueness. An account activation link is sent to the provided email. After account activation, the panelist receives a profiling survey. Only after these steps is the panelist invited to regular studies.

When redeeming points from the account, bank transfers are checked for authenticity of the provided data and uniqueness of bank account numbers.

Sampling methods, the procedure for inviting panelists to specific studies, and ways to ensure transparency during qualification (what information the panelist receives in the invitation, what information they receive if they do not qualify, etc.)

Sampling may be purposive or random-quota-based, using information provided by the panelist in the profiling survey. The group of invited people is narrowed to the minimum necessary, taking panel indicators into account, so that we do not send too many invitations. When inviting, we exclude people to whom time-based or topic-based cooldown periods apply, if the study requires it.

Invitations are sent by email or made available in the panelist’s account. The invitation content includes the estimated time to complete the survey and the number of points that can be received for completion.

When starting a survey, the panelist also receives information about the general topic of the project, which does not allow them to clearly identify the study’s purpose or qualification criteria.

Scope of available profiling information about panel participants, and rules for using information obtained in previous studies or from external sources for profiling

The profiling survey consists of a series of socio-demographic, behavioral, and owned-services-or-products questions. All profile questions come from the profiling survey.

In justified cases, panelists are asked for consent to be contacted again, using information gathered in a given survey. Consent is collected immediately during completion of that survey.

Storage of data obtained during previous studies (e.g., regarding behaviors, beliefs, or consumer preferences of a given panelist), and the possibility of using them in subsequent studies

Information collected in surveys is stored on a separate server with the survey system. The stored datasets contain only survey responses and an invitation or panelist identifier, and are not combined with the panelists’ personal data.

These data are not used for re-profiling unless appropriate consent for such action has been obtained earlier.

Qualification for studies: limits in this area, e.g., time-based, topic-based, demographic, and allowed frequency of participation in studies conducted by a given company

People invited to a study are those who, based on responses in the panelist profile, best fit the study sample. Time-based, topic-based, or demographic cooldowns are defined depending on the project, if required. Most often, invitations are limited by time so that a panelist does not complete a survey more frequently than once every two days.

Panel4p.pl does not undertake topics that offend public opinion or content it defines as controversial. Survey content is verified each time by the Research Team, and any controversial questions are removed from the questionnaire.

Monitoring key panel parameters, including: the number of active panelists and the ratio of people who reacted to a study invitation to the number of people invited (response rate)

For each project we conduct, key parameters are collected in the project documentation. The panel4p.pl system also monitors the current number of active panelists. This is updated continuously and displayed during each send-out.

Ways to verify panelist data over longer periods (e.g., monitoring changes in socio-economic variables), ensuring consistency and repeatability of the sample structure in tracking studies

Panelist data are updated via the profiling survey. Updates take place at least once a year, and more often if needed.

Thanks to data updates, in tracking studies we invite people who meet the classification conditions for the survey.

Rules and minimum criteria enabling cooperation with external panels

When cooperating with external panels, we select suppliers who have a current PKJPA certificate for CAWI.

In cases that require cooperation with a panel that does not have a current PKJPA certificate for CAWI, it is required to sign a contract or statement confirming compliance with PKJPA-related requirements and adherence to the associated rules and requirements.

The contract or statement is signed no less than once a year.

Identification of technical requirements necessary to implement the assumptions described in the Quality Policy, and the technical and organizational measures used to meet them, including those ensuring the protection of panelists’ personal data

The organizer of panel4p.pl is 4P Research Mix Sp. z o.o.

The company ensures systematic review of the technical requirements necessary for the optimal functioning of the panel in line with the assumptions of this Quality Policy. This is carried out through regular testing, monitoring, and verification of identified key technical aspects adequate to existing risks, to the extent that allows us to demonstrate that the applied technical measures are sufficient. Any technical improvements and updates are implemented based on these reviews.

As the organizer and personal data controller of panelists’ personal data, the organizer ensures their processing and protection in accordance with Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 (GDPR). For this purpose, the organizer has implemented an appropriate Personal Data Protection Policy and proceeds in this area in accordance with its procedures and rules. A Data Protection Officer has also been appointed in accordance with the requirements of the Polish Personal Data Protection Office (UODO).
